Doctoral theses & Gray literature

General

Self-deposit through Pergamos is for current, active NKUA students. Former graduates can contact their School Library (http://www.lib.uoa.gr/bibliothikes.html) to ask whether retrospective deposit is possible.

All fields are required except additional subject categories and the supervisor's email. We recommend entering the latter if the supervisor has an active NKUA email account.

Yes. Fill in as many fields as you wish, select "Save" at the top right of the form, and log out. You can log in later to continue. Each save retains all information entered so far, even if required fields are still empty.

When you select "Submit", provided all required fields are complete.

If required fields are empty, their number appears in a red box on the "Submit" button. Select "Submit" to see a list of the missing fields. Select a field name to go directly to it, fill it in, and select "Save". Repeat until all required fields are complete.

Yes. Select "Delete" at the top right of the submission form. The form is then permanently deleted, and you must start the entire process again.

The system asks you to confirm that you want to submit your work finally.

The relevant Library reviews your work to decide whether it can be approved or whether you need to correct the submission form. In either case, it will notify you at the email address you provided.

Yes. Select the "English" button at the top right of the page.

You will receive a submission confirmation at the email address you provided. It includes the completed form.

Yes. An email to the address you provided will confirm approval and include the relevant certificate as an attachment.

If you have not submitted your work yet, delete the draft and start again with the correct email address. If you have already submitted it, contact your Library (http://www.lib.uoa.gr/bibliothikes-scholon.html):

  • If the work has been approved, you will not receive the approval email at the incorrect address. The Library can correct your address and send you the work details and system-generated certificate. You may also be able to see them after logging in to Pergamos under "E-deposit". This may not be possible for undergraduate theses because undergraduate accounts become inactive after graduation and can no longer access NKUA online services.
  • If the Library has not reviewed the work yet, ask it to reject the submission so it returns to you for correction. Log in again and change the email under "E-deposit". If the system does not allow this, deleting and resubmitting the work is a last resort.

Keep the following in mind:

  • Allow time for possible delays, problems and requested corrections.
  • The Library should respond within three working days of your submission.
  • If you are an undergraduate student whose graduation application has progressed, your NKUA account may already be inactive. You may then be unable to use Pergamos or other services requiring authentication through KLEIDI. Ask KLEIDI (www.noc.uoa.gr) whether it can help with your account, or contact your Library (http://www.lib.uoa.gr/bibliothikes-scholon.html).

Use a modern browser updated to its latest version. We recommend Chrome or Mozilla Firefox, which have been extensively tested. Other modern browsers, such as Microsoft Edge, are continually tested and generally work, but may have minor problems loading Pergamos pages.

Only one author should submit it and add the others through the form. That author must have their authorisation and know their personal details: first and last name, father's name, student registration or identity card number, email and telephone number.

The "Refresh" button at the bottom of each step reloads the current page. It may help if field values do not seem to be saving or if your work shows an unexpected status, such as "under review" instead of "not submitted".

Before submitting material

  • Make sure the file you deposit is the final version of your work and is a PDF.
  • Have your student registration number, or alternatively your identity card number, ready.
  • Have the username and password for your institutional account. You can obtain these only through NKUA's Network Operations and Management Center, KLEIDI (www.noc.uoa.gr), particularly its account management service (webadm.uoa.gr).
  • If your work has other authors, only one author should submit it and add the others. The submitting author must have their authorisation and know their first and last name, father's name, student registration or identity card number, email and telephone number.
  • If you are enrolled in more than one academic unit, select the e-deposit option for the relevant unit and type of work. If your roles are shown incorrectly after login, ask KLEIDI (www.noc.uoa.gr) or its account management service (webadm.uoa.gr) to correct them. If the deposit is urgent, contact your Library (http://www.lib.uoa.gr/bibliothikes-scholon.html).
  • Each student may deposit only one work of each type per department or postgraduate programme, such as one undergraduate thesis for a department or one master's thesis for a programme specialisation.

Getting started with submission

Your "Personalised services" page appears, showing your name and role.

Contact KLEIDI (www.noc.uoa.gr) through its account management service (webadm.uoa.gr) to correct your details. If your deposit is urgent, ask your Library for help (http://www.lib.uoa.gr/bibliothikes-scholon.html).

Report the problem to your Library (http://www.lib.uoa.gr/bibliothikes-scholon.html) or the Libraries Computing Center (pergamos@lib.uoa.gr).

Follow these steps in order, if you have not already done so:

  1. Select "Login" to open "Personalised services".
  2. Select "Login via CAS" and enter your institutional account details on the KLEIDI authentication page.
  3. Select "E-deposit" to see your details and the department or postgraduate programme specialisation with which you are associated.
  4. Select "Deposit" to begin.

Ask KLEIDI (www.noc.uoa.gr) or its account management service (webadm.uoa.gr) to correct your details. If the deposit is urgent, ask your School Library for help (http://www.lib.uoa.gr/bibliothikes.html).

Check the following:

  1. Try logging in directly to the account management service (webadm.uoa.gr). If that also fails, contact KLEIDI (www.noc.uoa.gr).
  2. If you are an undergraduate student whose graduation application has progressed, your account may already be inactive. You will then be unable to use Pergamos or other services that require KLEIDI authentication. Contact KLEIDI to ask whether it can help with your account.

STEP 1 OF 3 – BEGINNING SUBMISSION

No. The Library and your academic unit are preselected. If either is incorrect, report the problem to your School Library (http://www.lib.uoa.gr/bibliothikes.html).

Enter your current student registration number or, if you do not have one, your identity card number.

Select the work you are depositing from the list: undergraduate thesis, master's thesis or doctoral dissertation, according to your level of study.

Enter only one valid email address that you check regularly so you receive the relevant notifications.

If you enter an incorrect address before submitting, delete the draft and start again. If you have already submitted, contact your Library (http://www.lib.uoa.gr/bibliothikes.html):

  • If your work has been approved, you will not receive the approval email at the incorrect address. The Library can correct your address and send you the work details and system-generated certificate. You may also be able to see them under "E-deposit" after logging in. This may not be possible for undergraduate theses because undergraduate accounts become inactive after graduation.
  • If the Library has not reviewed your work yet, ask it to reject the submission so it returns to you for correction. Log in again and change the email under "E-deposit". If the system does not allow this, deleting and resubmitting the work is a last resort.

If fields repeatedly fail to save, you may need to delete the form using "Delete" at the top right and start the submission again.

  • Before deleting it, copy the field values into another text file so you do not have to write them again.
  • To avoid possible browser cache problems, clear recent browsing data, especially cookies from the last hour. Log out of Pergamos, close the browser window, open a new one (preferably private or incognito), return to Pergamos and log in again.

STEP 2 OF 3 – EDITING MATERIAL

Use the format: full name, academic rank, department, institution (for example, John Example, Assistant Professor, Department of History and Archaeology, School of Philosophy). Put each additional supervisor on a new line by pressing Enter. For master's theses and doctoral dissertations, enter every member of the respective three-member and seven-member committees.

This field is optional.

If you complete it, enter the principal supervisor's NKUA institutional email. To find it, enter the part before @ (preferably more than four characters), select the search icon, and explicitly select the correct person from the results showing name, email and role.

  • If the principal supervisor does not have an NKUA email account, leave the field blank. Contact your School Library if you want a particular alternative address to receive notifications (http://www.lib.uoa.gr/bibliothikes.html).

You can select as many languages as needed from the list in the relevant field. Start typing the first letters of each language to find it.

There is no formal word limit. However, keep each abstract below about 32,000 characters; longer text can cause problems with saving, indexing and displaying the field.

Select the most representative subject from the system's list of main subjects. These broad categories generally correspond to fields of study at NKUA schools.

Enter words or terms that describe your work in Greek and one other language. There is no word limit. Your choices can differ from the categories in Pergamos' subject thesaurus. Names, places, specialist terminology and any other useful terms can help readers find your work through search.

No particular filename is required. We recommend Latin characters and your surname, such as papadopoulos-dissertation.pdf or papadopoulos-thesis.pdf.

  • Keep the PDF reasonably small for uploading and downloading online. Files larger than about 50 or 100 MB may be difficult to upload, especially from outside NKUA.
  • A file of many hundreds of MB or around a GB may fail to upload because the transfer takes too long and the server connection is interrupted.
  • When creating the PDF, use your editing software's options, such as image compression, to keep the resulting file to a reasonable size.

The form offers this option only for master's theses (six months) and doctoral dissertations (12, 18 or 36 months). Your choice sets the date on which access to the digital file opens. Access is otherwise generally open. An author may request a different restriction only in writing, with full justification, to the Governing Board of their School Library.

  • The access restriction applies only to the attached PDF containing the digital copy of the work.
  • By default, any accompanying ZIP file is not openly accessible because it may contain personal or confidential data.

Yes. Compress all supporting files into one ZIP archive and upload it in the "Optional ZIP file with supporting material" field. A ZIP larger than about 50 or 100 MB may be difficult to upload from outside NKUA.

A file of many hundreds of MB or around a GB may fail to upload because the transfer takes too long and the server connection is interrupted.

Enter the total number of pages in your work, excluding supporting material.

Select "Yes" if your work has an index of terms, names or similar entries. In the following field, enter the number of pages in the index.

Select "Yes" if your work contains any illustrations, such as photographs, images or tables.

Enter the number of books, articles, edited volumes and other works listed in your bibliography.

Enter the title exactly as it appears on the cover, in its original language. Please avoid typing it entirely in capital letters.

This applies to the translated title, abstract and keywords.

Enter these in Greek (required) and preferably English, or another language, generally the language in which the work was written. If the work is in Greek, use English for the other-language field if possible. If it is in another language, use either English or the language of the work.

For the title, provide a translation as above and repeat the original title in the appropriate field if necessary.

STEP 3 OF 3 – FINAL SUBMISSION

  • You first receive an email confirming successful submission.
  • The relevant Library reviews the work and either approves it or returns it to you for corrections and resubmission.
  • You receive another email after approval.

If fields repeatedly fail to save, you may need to delete the form using "Delete" at the top right and start the submission again.

  • Delete the form itself, not just the contents of its fields.
  • Before deleting it, copy the field values into another text file so you do not have to write them again.
  • Clear browsing data, especially cookies, for at least the period during which you have been working on the deposit (for example, the last hour or day). Log out of Pergamos, close the browser completely, restart it, open a new window (preferably private or incognito), return to Pergamos and log in again.
  • In the new form, start with the fields that caused trouble. Type their contents manually rather than pasting from a word-processing document, in case pasted control characters caused the problem. Save the form immediately afterwards.
  • You may need to repeat the process.
