Doctoral theses & Gray literature

Step 1 of 3

  • The process is simple and takes place entirely online.
  • Take particular care to select the correct type of work (undergraduate thesis, master's thesis or doctoral dissertation). You cannot change the type after submission. If you select the wrong type, you must submit your work again using a new form, after asking the Library to delete the incorrectly submitted work.
  • Also check that you enter your student registration number or identity card number correctly.
  • The system sends automatic email notifications when you submit your work and when the Library approves or rejects it. Enter one valid email address that you check regularly to receive these notifications (Important: enter only one email address). If you enter an incorrect address before submitting, delete the draft form and start again. If you have already submitted, contact your Library (see the Library contact details):
    • If your work has been approved, you will not receive the approval email at the incorrect address. The Library can correct your email address and send you the work details and confirmation issued automatically by the system. You may also be able to view them by logging in to Pergamos and opening "E-deposit". This may not be possible for undergraduate theses because undergraduate accounts become inactive after graduation, preventing access to NKUA online services.
    • If the Library has not yet reviewed your work, ask it to reject the submission so it returns to you for correction. Log in to Pergamos again, open "E-deposit", and change your contact email. If the system does not allow this, you can delete the work and submit it again as a last resort.
  • You can cancel the process at any point before final submission.
  • A "Refresh" button at the bottom of each step lets you refresh the current page at any time. This may help if something does not appear to be working, such as changes to the descriptive fields not being saved correctly.

Step 2 of 3

Complete the form

  • Avoid entering field values in all capitals; check that Caps Lock is off.
  • The system provides guidance for completing required fields, which are marked with a red asterisk.
  • Remember to save your progress as you fill in the form.
  • A "Refresh" button at the bottom of each step lets you refresh the current page at any time. This may help if something does not appear to be working, such as changes to the descriptive fields not being saved correctly.

Save the form

  • Remember:
    • You can save the form as often as you wish, even if you have not completed every required field.
    • The next time you log in, the form will appear as you last saved it.
    • A "Refresh" button at the bottom of each step lets you refresh the current page at any time. This may help if something does not appear to be working, such as changes to the descriptive fields not being saved correctly.
  • Sometimes a form may repeatedly fail to save the information you enter. In that case, you may need to delete it using the "Delete" button in the upper right corner and start the submission process again.
    • Before deleting the form, copy its field values into another text file so you do not need to write them again.
    • To avoid possible browser cache problems before starting again, clear your recent browsing data, especially cookies from the last hour. Then log out of Pergamos, close the browser window, open a new window (preferably a private or incognito window), return to Pergamos and log in to start a new submission.

Submit the form

  • You must complete all required fields before submitting. The system checks them after each save.
  • Submitting the form finalises its details and requires your confirmation.
  • On submission, the form's contents are sent automatically to the relevant Library for review.
  • A "Refresh" button at the bottom of each step lets you refresh the current page at any time. This may help if something does not appear to be working, such as changes to the descriptive fields not being saved correctly.

Delete the form

  • You can delete the form and cancel the deposit process after confirming your choice.
  • All form data is then deleted, and the deposit is treated as though it never began.
  • You can start a new deposit if you have no other deposit pending. To avoid possible browser cache problems, clear your recent browsing data, especially cookies from the last hour. Then log out of Pergamos, close the browser window, open a new window (preferably a private or incognito window), return to Pergamos and log in again.

Step 3 of 3

  • The system automatically issues a notice of electronic submission as soon as you finalise and submit your work. It sends the notice to the email address you entered in Step 1.
  • When the Library has reviewed your submitted work, it emails the result to the address you entered in Step 1.
  • If your work is rejected, you will be asked to correct any errors and submit it again.
  • A "Refresh" button at the bottom of each step lets you refresh the current page. This may help if information has not saved correctly or the work appears to have an unexpected status, such as "under review" rather than "not submitted".
  • If the review is successful, your work is approved and posted in Pergamos. The system also issues an electronic deposit confirmation containing the work's details and sends it to you.
