Scientific publications
FAQ
What kinds of material does the collection include?
The collection is strictly for material resulting from scientific or research activity. It supports the following types of material:
- Scientific publications (journal or conference articles, posters, books or book chapters)
- Preprints of work in progress (working papers)
- Research datasets
- Technical reports
The system automatically places these types of material in the appropriate subcollections.
Who can deposit material?
The service is available to all members of the NKUA academic community, including faculty, other teaching and technical staff, students and administrative staff. Depositors must have an NKUA account.
Who reviews or evaluates the work I deposit?
No one. You take full responsibility for the material you upload, including its metadata and digital files. You are also liable to NKUA for any related claim brought by a third party.
If an article has several authors, who should upload it?
One of the authors should normally upload it, with the consent of the others, rather than a third party. The system allows the upload to be linked to the other authors.
Are there any requirements before I can deposit material in Pergamos?
- Self-deposit is possible only after you accept the declaration of responsibilityfor the upload.
- At least one author or creator must have an NKUA affiliation.
Do I need to upload the digital file for every article, book or other work?
There are two cases:
- Published material, such as journal or conference articles, books, book chapters and posters.
- Unpublished material, such as preprints, technical reports and research datasets.
In the first case, you will probably not need to upload the digital file. Instead, provide a link (URL or DOI) to the file on the publisher's website. Publishers usually do not allow the file to be uploaded to other websites, but you can act according to any different agreement you have with the publisher.
In the second case, you must also upload the corresponding digital file.
After uploading an article, book or other work, must I do anything else to make it available in the repository?
No further action is needed. Your material is automatically placed in one of four digital subcollections (Scientific publications, Technical reports, Research datasets or Works in progress) and becomes immediately available to Pergamos visitors under its open-access policy.
What can I do after uploading an article, book or other work?
Once the upload is complete, it is added to the appropriate digital collection. You can also find it under "My material" after logging in to Pergamos and selecting "Research material" from your personalised services.
You can edit the upload's metadata or delete the upload. If you find an error or omission, you can also delete or replace its digital file. You may set an embargo or release date for the file according to your agreement with the publisher. You can notify the other authors, if they belong to NKUA, of the upload by email. They then automatically gain the same editing rights. To use these options, select the title of the work you want to edit.
Please note: You cannot change the language of description or the affiliation when editing an upload. If either is wrong, you must delete the upload and create a new one.
Note: If more than one NKUA author is linked to the publication and it appears under "My material" for each of them, deleting it as one author only removes that author's link to the upload. To remove the upload entirely from the system, all authors must delete it.
What should I enter in the "Department" affiliation field?
Enter the NKUA unit under which your upload should be listed. This may be a department, the Library, or NKUA as a whole. For statistical purposes and simplicity, the list contains only NKUA departments, the Library and Information Center, and NKUA as an umbrella for the university's other organisational units.
What should I enter in the "Project details" field?
You can enter information about a research project from which the uploaded material resulted, such as its title, funding source, duration or principal investigator. This field is not required, but it can add useful context to your upload.
What is the ZIP file that I can include with an upload for?
You can use a ZIP archive to include additional files that should accompany your upload, such as software you created and used in your research, research data, a related poster or presentation slides.
Can I upload a paper written for a course in my study programme?
The collection generally accepts material resulting from research activity. If a course paper has a research basis and is of a standard comparable to a scientific article, it may be suitable as a preprint or work in progress. Even then, you need the agreement of the instructor who assigned, reviewed and approved the paper.
How can I register publications?
You have the following options:
- Create: Manually enter one publication using a structured form and fill in all required descriptive fields yourself.
- If you know the publication's DOI (Digital Object Identifier), you can instead register one publication using "Import > DOI".
- To register multiple publications, provide a BibTeX or RIS file and choose "Import", then the appropriate file type.
Note: In any registration method, the system checks for possible duplicate records only when a DOI is included and is valid (that is, it can be verified or retrieved through https://doi.org).
What does "Export" do in "My material"?
"Export" lets you export all your entries in "My material" as a BibTeX or RIS file.
