Stage 1: Descriptive metadata

This stage consists of four steps:

  1. Accept the deposit terms
  2. Administrative metadata (language and affiliation)
  3. Bibliographic record
  4. Confirmation and deposit

Please note that:

  • You must complete each step before moving to the next one by selecting "Next".
  • You can return to a previous step at any time by selecting "Previous".
  • You can stop the submission process at any time by selecting "Cancel".

Step 1: Deposit terms

At this step you agree to take full responsibility for depositing the material you intend to upload. The declaration you are asked to accept reads as follows:

Declaration of responsibility

To enable the deposit or upload of material, the depositor must agree in full to the following points, which constitute a declaration of responsibility.

I agree and declare that:

(this declaration is binding on all creators of the uploaded material jointly)

I am either the sole creator of the article, essay, paper, technical report, book, book chapter or research data that I intend to upload to Pergamos or, where there are multiple creators, I have the express authorisation or consent of all the other creators to upload the work. In the latter case, all creators share responsibility for the upload process and any consequences arising from it.

I bear sole responsibility for the accuracy of the upload and its descriptive metadata, for the originality, validity and authenticity of the material's content, and for the digital item uploaded to Pergamos.

If the uploaded material results from scientific research, the NKUA faculty member who supervised or collaborated on the work has given their consent, if that person is not listed among the material's creators.

I hold the intellectual property rights or, otherwise, declare that uploading the material to Pergamos does not infringe any third party's rights.

I bear sole responsibility for any action that may give rise to legal issues as a result of the upload.

I declare that neither the Pergamos Institutional Repository and its administrators nor the institution to which the repository belongs, the National and Kapodistrian University of Athens, bear any responsibility for the upload or its content.

I confirm that, as the creator of the uploaded content, I am liable to NKUA for any related claim that a third party may bring.

I declare that the upload follows Pergamos' open-access policy, making the material available solely for personal study and private use, and for educational and research purposes. Third parties may not use the material for commercial purposes or for direct or indirect commercial gain.

I understand that, if the material being uploaded (a poster, article, book or book chapter) has already been published:

  • If the digital material is available on the publisher's website, I will upload only the official URL pointing to the digital file, subject to the access rights granted by the publisher, or the digital file itself only if I have the right to do so under the applicable agreement or licence.
  • If the work does not exist in digital form, I will upload a digital file that is not a digital reproduction of the original printed publication, unless the publisher has expressly agreed or I hold all intellectual property rights.

I understand that, if the material being uploaded (a poster, article, book, book chapter, preprint, technical report, etc.) has not been published, I have the right to upload the corresponding digital item.

I have read and fully understand the points in this declaration and accept any legal responsibility arising from it.

Please note that this declaration is common to and required for every supported method of entry, whether manual or automated bulk import. It applies both to descriptive metadata and to digital material.

Step 2: Administrative metadata

At this step, select:

  • The language of the material (the language in which the paper, article, etc. is written)
  • The NKUA academic unit under which the material will be recorded (for example, an NKUA department)

Check the information you enter in these fields carefully. Once the material has been uploaded, you cannot change its language of description or affiliation. If either is wrong, you must delete the upload using the relevant button and create a new one.

Step 3: Bibliographic record

At this step, a form asks you to enter the descriptive metadata required for the material type selected in Step 1. Please note:

  • Fields marked with an asterisk "*" are required.
  • If the material has already been published (for example, an article, poster or book) and is available on a publisher's website, you may provide the URL pointing to the digital file instead of uploading the file itself, unless you have a different agreement with the publisher.

Step 4: Confirmation and deposit

Here you confirm that the information you entered is correct so the corresponding record can be created.

After the record is created, you can proceed to the next stage. Your uploaded material appears in "My material", where you can edit it further.

Note that, once you complete this step, your material is available in Pergamos and accessible under its open-access policy.

Stage 2: Further editing

The material you have just uploaded appears in "My material". You can take four main actions:

  • Upload a digital file (again agreeing to the declaration from Step 1 of Stage 1).
  • Edit the item's descriptive metadata.
  • Notify and link the publication's other authors, if they belong to NKUA.
  • Delete the upload.

Please note: These actions, along with the options to replace or delete a digital file or set an embargo period for access to it according to your agreement with the publisher, are always available to the user or author from "My material" by selecting the title of the work you wish to edit.
